Administration Assistant - part time

Overview

Limbs 4 Life seeks to appoint an administration all-rounder to assist with the general running of our national operations.

This hands-on role requires the candidate to demonstrate exceptional organisational, communication and planning skills. With an eye for detail, you will have the ability to work independently with minimal supervision. 

A lived experience of disability and/or interest in working within disability sector will be advantageous. 

Key Accountabilities

The Administration Assistant will be responsible for the following:

1. General office administration

  • Answering phone and email inquiries
  • Meeting planning and calendar management, phone and face to face meetings
  • Database entry and oversight – good computer skills Microsoft office (word, excel, outlook, power point)
  • Mail merge and mail distribution, general correspondence
  • Maintain and update filing and storage systems in the office
  • Maintain health literacy resources and support packs and distribute nationally as required
  • Create, edit and update spreadsheets
  • Assist local area support groups with venue planning and preparation and provide support as needed.
  • Assist with the coordination of program activities, liaise with and book accessible venues.
  • Assist with the arrangement and booking of presentations for health and community service-based staff
  • Assist with support to program recipients 

2. Financial

  • Raise invoices and receipts
  • Oversight PayPal transactions and EFT payments
  • Assist with the annual financial audit and month end summaries
  • Liaise with clients and suppliers, providing excellent customer service

3. Office oversight

  • Maintain office supplies and manage inventory
  • Retrieve documents and files as required
  • Collate and distribute marketing material as required

4. General

  • Ability to work independently with minimal supervision
  • Ability to prioritise and an eye for detail
  • A proactive approach to problem solving
  • Undertake business activities in a safe manner to avoid or reduce the risk of injury or illness to self and others.
  • Comply with Limbs 4 Life OH&S policies and procedures.
  • Operate in line with Limbs 4 Life policies and procedures, and ethics
  • Contribute effectively as a team player

Salary range: $50,000 - $60,000 pro rata (including superannuation)
